You can manage up to 3 separate business locations under a single Genbook account. This article walks you through how to get started with multiple locations, and how you can navigate them in the Calendar, and the experience your clients will have when they book.

Create a New Location - Web

1. Click 'Settings' at the top right

2. Click 'Locations' in the Business Profile section (below Staff)

3. Click 'Add Location'

You'll see a "Main Location" and "New Location" tab (the second one will have all blank fields).

4. Add the details of your new location

🤓 Pro tip: The "Location Alias" will be displayed to clients when they book online, so be sure to make it specific.

5. You'll see an 'Available Staff' section on the bottom half of the page. Check the boxes of the staff members who will be working at the new location and uncheck the names of those that will not be working in the new location. 

Click the 'Save Changes' button at the bottom. 

🎉 Your new location has been added. You should see all locations listed under the 'Locations' section.

Assigning Locations to Staff - Web

You can set the locations from which a staff member works.

1. Click 'Settings' at the top right of the screen

2. Click 'Staff'

3. Then select a staff member/service provider.

4. Under 'Available Locations', check the boxes of the location(s) that staff member will be performing services.

5. Click "Save Changes"

Setting Staff Hours - Web

If you have staff who work at more than one location, it's important to set their location-specific staff hours. In order to avoid scheduling conflicts, ensure there is no overlap on availability between locations. 

1. Click 'Settings' at the top of the page

2. Click 'Staff'

3. Select a staff member/service provider.

4. Click 'Staff Hours'

5. Select the location for which you'd like to edit the provider's schedule. 

🤓 Pro tip: Be careful not to overlap their availability between locations.

Setting Operating Hours - Web

Here you can set different business hours for each of your locations.

1. Click 'Settings' at the top of the page

2. Click Operating Hours

3. Select the location you're editing and set the hours your business is open there. Make sure to click Save Changes when finished

In the Calendar

Toggle between locations in the Calendar tab using the location icon at the top left. 

When a single staff member works at multiple locations they have visibility over both, with When one calendar is selected the appointments at that location are shown in full and appointments at other locations are in gray.

In the Customers tab

The booking information in the Customers tab includes the location of the booking

Adding a Location - iOS 

First tap the Settings icon (circle with three lines across it) at the top LEFT of your screen. 

1. Tap the Settings menu at the top left
2. Tap Business Profile

3. Tap Locations
4. Tap the plus (+) sign at the top right. 

5. Tap the button at the top to turn bookings on at this location.
6.
Enter the location's details, then tap "Available staff" to assign staff to this location. 

7. Tap the bubbles besides a staff name to turn them on/off at this location. Then tap Save at the top right to return to the location's main settings.
8. Tap Save at the top right to save your new location's details.

Assign Locations to Staff 

1. Tap the Settings icon at the top left (circle with 3 lines going across it).
2. Tap Business Profile

3. Tap Staff.
4. Select the staff member

5. Tap "Assigned Locations" under Locations.
6. Tap each location to turn it on/off for the staff member, then tap Done at the top right to save. 

Hit "Save" again on the staff's details page and you're all set. 🎉

Setting staff hours at the different locations

1. Tap Settings (circle icon at the top left).
2. Tap Business Profile

3. Tap "Staff".
4. Select the staff member (if applicable).

5. Tap Staff Hours
6. Choose the location you wish to edit from the top dropdown

7. Tap a time slot to edit its availability, then choose to make it Offline or Away if the staff member isn't at that location on given day of the week, or Online for when they are available for bookings there. Use the arrows to enlarge or shrink the availability. Staff hours will repeat weekly.
8. Tap Save at the top right when you're done. 🎉

Viewing schedules at different locations in the calendar daily and weekly view

Single staff daily view by location (default)

  • Tap staff name at the top left
  • Tap the location name

Single-staff weekly view by location.

  • Flip your phone sideways to see your calendar in landscape mode.
  • Tap the staff member's name at the top left, select the location and make sure the grid icon beside the name has just 1 day in purple. (tap a different staff member if needed).

🤓 Pro tip: Tap the grid icon at the top left to switch from single-staff week view to multi-staff day view. 🔽

  • Flip your phone sideways to get the landscape/wide mode.
  • Tap the grid icon at the top LEFT, making sure a row of squares is purple and the name of the location, only, shows beside it.

Add a location - Android

1.  Tap Settings at the top left
2
. Tap "Business Profile"

3. Tap "Locations"
4. Tap "+" at the bottom right to add a new location

5. Enter your location details (address, phone number, etc.) in the spaces provided
6. The "Location Alias" will is the location name clients will see when they book, and also the name you'll see in your calendar.

7. Tap "Available Staff" to assign staff to your location.
8. Tap the boxes beside each staff member to remove (uncheck) or add (check) them to your location.  

9. Tap the check mark(s) at the top right to save your changes.

If a Genbook business has multiple locations it will be listed in the Consumer App multiple times with the correct addresses. 

The booking history will indicate the location of each appointment as well
